How to use Navigora OutReach

Navigora OutReach helps sales teams create personalized B2B outreach using information about the recipient and the company they represent. Instead of writing every cold email or call script manually, you can use AI to generate recipient-specific messages based on company and contact information available in Navigora.
OutReach supports both email and phone outreach. For email, you can create a sequence of up to four personalized messages. For calling, you can generate an individual call script for each recipient.

1. Set up your OutReach defaults
Before creating campaigns, define the default information and messaging preferences that OutReach will use as the starting point for your campaigns.
The setup includes information about the sender, the organization and the product or service you want to promote. You can provide:
Your organization name and a short description
A link to your organization’s website
Your product or service name and a short description
A link to the relevant product or service page
Sender contact details
Keeping these defaults accurate gives the message generation process clear context about who is contacting the recipient and what you are offering.
For email campaigns, your email service also needs to be connected before messages can be sent.
2. Configure how your messages should be generated
Next, define how you want OutReach to generate your messages. These settings act as instructions for the AI and can also be adjusted for individual campaigns.
Choose the channel
Select whether you are creating an email campaign or a calling campaign.
Email campaigns can contain between one and four messages. The first is the introductory message, while subsequent messages work as follow-ups or reminders.
For calling campaigns, OutReach generates one personalized call script for each recipient.
Set the message length
You can define the length of both introductory and follow-up emails. The documented range is 50–300 words per message.
Choose a length that gives the AI enough room to explain why you are reaching out without making the message unnecessarily long.
Choose the tone and style
OutReach provides several ways to control how the generated message is written. The documented options include settings for:

For example, the communication style can range from expert and considered to enthusiastic, humorous, provocative or critical. The opening can focus on the company, its industry, a problem, a question-and-answer structure or another supported approach.

3. Build your recipient group
Once your defaults are ready, define who you want to contact.
Use Navigora’s search functionality to identify individual people for your campaign and create a recipient group. The documented workflow is person-based: each recipient is an identified individual representing a particular company or organization.
The current specification defines a maximum of 50 people per person list. Person lists can be managed alongside company lists, with actions including exporting the list to Excel, importing people and starting communication.
Keeping the target group focused is particularly important because OutReach is designed for personalized daily outreach rather than generic mass email campaigns.
4. Create a new campaign
Go to Campaigns and choose Create new campaign.
Name your campaign, select the recipient group and configure the campaign-specific settings. Your default OutReach settings provide the starting point, but they can be adjusted for an individual campaign when necessary.
For an email campaign, you can define:
Number of messages
Campaign start
Interval between messages
Campaign-specific content settings
Message-generation configuration
The documented sending interval for email messages is between one and seven days, with messages sent on weekdays.
This allows you to create a sequence rather than relying on a single cold email.
5. Generate personalized messages with AI
Once your campaign and recipient group are defined, use OutReach to generate the messages.
The AI can use Navigora information about the target company and recipient as context for personalization. The documented company information includes factors such as:
Organization and company type
Industry
Revenue and revenue development
Number of employees and employee growth
Location
Relevant observations and news
Recipient information can include the person’s name, organization, role, title and area of responsibility.
For example, an introductory email can refer to the company’s business, industry, location, a recent development, market situation or relevant project before connecting that context to the product or service you are offering.
The aim is not simply to insert a company name into a standard template. The available context is used to generate a message specifically for the selected recipient and their organization.
6. Review and edit the generated messages
AI-generated outreach should be reviewed before it is used.
After generating the messages, OutReach allows you to preview and edit them for individual recipients. Check that the message is accurate, relevant to the recipient and appropriate for the conversation you want to start.
Pay particular attention to any company-specific information included in the message. AI-generated personalization should be treated as a draft rather than an assumption that every generated statement or angle is appropriate.
For email sequences, also review the messages together. Follow-ups can take the previous message into account to reduce unnecessary repetition.
7. Start the campaign
Once you have validated and edited the generated messages, start the campaign.

8. Track responses and campaign progress
After launching your campaign, use the campaign view to keep track of its progress.
The documented workflow allows recipient responses to be classified manually so the campaign status stays up to date. Responses can indicate a positive reaction, a negative reaction such as a request to stop communication, or no reaction.
